Request to Hire

No offer is to be made to a candidate until the Office of Access & Equity reviews and approves the form.

The purpose of the Request to Hire form is to provide a description of efforts made to meet affirmative action guidelines. This information is used to furnish the Office of Access & Equity with information on affirmative action efforts of the departments, and to generate reports submitted by the University to state and federal compliance agencies.

When the recruitment process has resulted in the recommendation of a candidate for appointment to a position, the Request to Hire form must be completed. In order to complete the form, the department should request an applicant summary from the Office of Human Resources (HR)  via email at hrscrn@clemson.edu. The summary will provide the name and applicant ID for each applicant, along with a race and gender summary for the applicant pool.  This will provide the department with information to complete the Request to Hire form. All information must be completed on the form to include the record of interview section. The form must be approved and signed by the search committee chair (if applicable), the department administrator and the budget center designee, who will indicate by his/her/their signature(s) that Affirmative Action/Equal Employment Opportunity guidelines have been met. The form will then be routed to the Office of Access & Equity for approval. It will be returned to the hiring department either approved or with appropriate recommended actions. If a candidate from an underrepresented group is interviewed and not selected for hire, the department is advised to provide justification in writing along with the Request to Hire form to avoid delays in approval. If approved, an offer may then be tendered. All offers are contingent upon the favorable results of a background investigation.

In keeping with affirmative action guidelines, the Request to Hire form, along with all additional documentation of recruitment and selection efforts, are to be maintained as part of the hiring department's recruitment file.
