The following important dates and deadlines provide information about regular faculty, board and trustee meetings, appointments, commencement, sabbaticals and other dates for the academic year. Please be advised that these dates and deadlines are subject to change; any revisions will be communicated to all academic departments and listed on this website.

  • Faculty Activity System (FAS)

    May 16, 2017 — All faculty complete FAS input: accomplishments for Academic Year (AY) 2016-17 and goals and workload for AY2017-18.

    May 16, 2017-August 15, 2017 — Chairs complete review and approve faculty goals and workload for academic year AY2017-18, review accomplishments for AY2016-17, and prepare FORM 3s.  This year’s performance review period covers Maymester 2016 through the end of the spring semester 2017.

    August 15, 2017 — eFORM 3 – AY2016-17 evaluation of academic personnel signed by faculty member. 

    August 25, 2017 — eFORM 3 – AY2016-17 evaluation of academic personnel disclaimers filed by faculty member.

    September 14, 2017 — Goals and workload for AY2017-18 are frozen by chairs.

    September 15, 2017

    eFORM 3 – ACADEMIC year AY2016-17 review is completed and signed by the Dean.

    September 26, 2017

    eFORM 3 AY2016-17 disclaimers to the dean’s review of evaluation of academic personnel is filed by faculty member.

    October 2, 2017

    eFORM 3 – ACADEMIC year AY2016-17 disclaimer responses by the deans are completed for final faculty signoff.

    October 31, 2017 — eFORM 3 disclaimers acknowledged by the Provost and required actions taken by the dean and Provost.

    December 12, 2017- January 11, 2018 — Faculty members revise goals and/or workload for AY2017-18 if necessary. This requires chair approval. (Since goals and workload are frozen, they will have to be re-opened by the chair.)

    February 16, 2018 — Staff AY2017-18 EPMS due to each unit’s/college Human Resource Mgr.

    February 27, 2018 — Staff EPMS Planning Stage must be completed for AY2017-18.

    February 28, 2018 — Staff EPMS Universal Review Date – EPMS due in HR.

    For new employees hired during the review period, planning stage must be done within 2 weeks of hire date.

  • Tenure and Promotion Review (Includes applicants for promotion to Senior Lecturer)

    August 15, 2017Notification of intent to request promotion and/or tenure submitted to Department Chairs.  (Allows department to plan needed TPR committees)

    August 31, 2017 — Appoint tenure/promotion (TPR) committees; Department Chair sets up committees in eTPR system.

    September 19, 2017 — Promotion and tenure eTPR files are complete and available to the Chairs and TPR committees.

    December 8, 2017 — eTPR files due in dean's office.  Chair and TPR committee reviews complete; letters loaded and candidate has read reviews and signed notebook.

    January 11, 2018 — TPR chair/advisory committee meets with the dean.

    January 25, 2018 — Department chair/advisory committee meets with the dean.

    February 06, 2018 — eTPR files due in provost's office.  Dean review complete; letter loaded and candidate has read reviews and signed notebook.

    April 20, 2018 — Promotion and tenure recommendation/files are due in the President's office.

    May 16, 2018 — The outcome of promotion and tenure letters as denoted by the Provost and the President are due faculty members.

    May 16, 2018 — Non-tenured regular faculty after two or more years of service (including those in the penultimate year who were not granted tenure) are due to receive terminal year non-renewal letters (termination letters are due to faculty having completed two or more years of service at least twelve months before the expiration of an appointment) the non-renewal letters serve to notify the faculty member of the terminal year of employment – Do not miss this date.

  • Post Tenure Review

    August 31, 2017

    — Appoint post-tenure review (PTR) committees for post tenure review; Department Chair sets up committees in eTPR system.

    DDecember 1, 2017 — Post-tenure review materials are due to PTR committee.

    April 20, 2018 — Part II Post-tenure review recommendations/files from PTR committees and chairs are due in the dean’s office.

    May 18, 2018 — Part II post-tenure review files that have one or more negative recommendations from the Chair or PTR committee are due in the Office of the Provost along with a spreadsheet listing the names and outcomes of all post-tenure reviews.

    August 4, 2018 — Part II Post-tenure review files received by the Provost that contain one or more negative recommendations made by the Chair or PTR committee are returned to the Dean’s office and the letter from Provost, who establishes the final outcome, is to be distributed.

    August 11, 2018 — Copies of letters sent by the Dean to all Part I post-tenure review applicants are due in the Provost’s office

  • Reappointment Files

    FIRST YEAR – 9 and 12 Month Regular Faculty and Lecturers

    August 31, 2017
    Appoint TPR/Reappointment committee; Department Chair sets up committees in eTPR system.

    October 13, 2017 — eTPR files complete and ready for chair and TPR committee review.

    November 17, 2017 — eTPR files due in dean's office.  Chair and TPR committee reviews complete; letters loaded and candidate has read reviews and signed notebook.

    January 4, 2018 — eTPR files for first year regular faculty members who have received a negative review for reappointment by either the TPR committee, the Chair or the Dean are due in the Provost's office.

    January 25, 2018 — eTPR files for first year regular faculty members who have received a negative review for reappointment by either the TPR committee, the Chair, the Dean or the Provost are due in the President's office.

    February 9, 2018
    (9 month) — eTPR files of 9 month-first year regular faculty members who are deemed to be non-renewal appointments are due a non-renewal letter three months in advance of the expiration of the appointment if in the first year of employment– this non-renewal letter should denote May 16, 2018 as the terminal date of employment - Do not miss this date.

    March 23, 2018
    (12 month) — eTPR files of 12 month-first year regular faculty members who are deemed to be non-renewal appointments for 12 month first year regular faculty members are due a non-renewal letter three months in advance of the expiration of the appointment if in the first year of employment – this non-renewal letter should denote June 29, 2017 as the terminal date of employment – Do not miss this date.


    SECOND YEAR – 9 and 12 Month Regular Faculty and Lecturers

    August 31, 2017 — Appoint TPR Committees; Department Chair sets up committees in eTPR system.

    September 19, 2017 — eTPR files complete and ready for chair and TPR committee review.

    October 13, 2017 — eTPR files due in dean's office.  Chair and TPR committee reviews complete; letters loaded and candidate has read reviews and signed notebook.

    October 31, 2017 — eTPR files for first year regular faculty members who have received a negative review for reappointment by either the TPR committee, the Chair or the Dean are due in the Provost's office.

    November 7, 2017 — eTPR files for first year regular faculty members who have received a negative review for reappointment by either the TPR committee, the Chair, the Dean or the Provost are due in the President's office.

    November 14, 2017
    (9 month) — eTPR files of 9 month-second year regular faculty deemed to be non-renewal appointments are due to receive non-renewal letters six months in advance of the appointment's expiration if in the second year of service (second year of service being August 14, 2017 – May 16, 2018) – Do not miss this date.

    December 28, 2017
    (12 month) — eTPR files of 12 month-second year regular faculty members deemed to be non-renewal appointments are due to receive nonrenewal letters six months in advance of the appointment's expiration if in the second year of service (second year of service being July 3, 2017 – June 29, 2018) – Do not miss this date.


    THIRD YEAR AND LATER - 9 and 12 Month Faculty Reappointment

    August 31, 2017 — Appoint reappointment (TPR) committees; Department Chair sets up committees in eTPR system.

    September 19, 2017 — eTPR files on regular faculty not in their first, second or penultimate year are due to Chair and TPR committees (include faculty in instructor, lecturer, or visiting positions only if they are being considered for reappointment.  In such cases peer review is required).

    December 1, 2017 — eTPR files on faculty not in their first, second or penultimate year are due in the Dean's office (include faculty in instructor, lecturer, or visiting positions, only if they are being considered for reappointment.  In such cases peer review is required).

    February 6, 2018 — eTPR files (that contain one or more negative recommendations from the peer review committee, the department head, and/or the dean) for faculty that are not in a first, second or penultimate year are due in the Provost's office.

    April 20, 2018 — eTPR files for first year regular faculty members who have received a negative review for reappointment by either the TPR committee, the Chair, the Dean or the Provost are due in the President's office.

    May 16, 2018
    (9 month) — eTPR files of faculty members who are not in a first, second or penultimate year and who are not going to be reappointed beyond the terminal year are due non-renewal letters denoting the terminal year of employment – Do not miss this date.

    June 27, 2018
    (12 month) — eTPR files of faculty members who are not in a first, second or penultimate year and who are not going to be reappointed beyond the terminal year are due non-renewal letters denoting the terminal year of employment – Do not miss this date.


    SECOND YEAR –Senior Lecturers – Reappointment Review

    August 31, 2017 — Appoint reappointment (TPR) committee; Department Chair sets up committees in eTPR system.

    September 19, 2017 — eTPR files on senior lecturers in their second or penultimate year are due to Chair and TPR committees (if they are being considered for reappointment.  In such cases peer review is required).

    December 1, 2017 — eTPR files on senior lecturers in second or penultimate year are due in the Dean's office (if they are being considered for reappointment.  In such cases peer review is required).

    February 6, 2017 — eTPR files (that contain one or more negative recommendations from the peer review committee, the department head, and/or the dean) for senior lecturers in their second or penultimate year are due in the Provost's office.

    April 20, 2018 — eTPR files for first year regular faculty members who have received a negative review for reappointment by either the TPR committee, the Chair, the Dean, or the Provost are due in the President's office.

    April 20, 2018 — Names of those faculty who are being re-appointed as senior lecturers with a favorable recommendation by the peer review committee, the department chair and the Dean are due in the Provost's Office.  Provost's Office will issue all letters of renewal of Senior Lecturer; no letters in regard to this will be issued by the college.

    Senior lecturers apply for reappointment in the second year of the contract; this allows for a terminal year in the event of non-reappointment.  

  • Other Notes for Special Faculty Rank

    February 15, 2018 —The Provost suggests that courtesy letters be sent to ALL special faculty who will not be renewed for the next academic year (see the faculty manual for any exceptions to the denoted special faculty ranks – Part 111, Section E, pages 10 – 12).

    June 22, 2018 —Non-renewal letters are due to faculty with special faculty rank of lecturer who, after 4 or more years of continuous employment, require 12 months of notice.  (This includes temporary or visiting lecturers.)  Do not miss this deadline – Letter must be approved before the faculty member enters the 4th year beginning August 15 (9 month contract) or July 1 (12 month contract).

  • Sabbaticals

    January 31, 2018Deadline for sabbatical leave to be submitted to the departmental committee chaired by the department chair (for fall sabbaticals)

    February 14, 2018 — Deadline for sabbatical leave to be submitted by the departmental committee to the Dean (for fall sabbatical)

    February 28, 2018 — Deadline for sabbatical leave to be submitted by the Dean to the Provost's office (for fall sabbatical)

    March 15, 2018 — Deadline for sabbatical leave to be submitted by the Provost to the President (for fall sabbatical)

    March 29, 2018 — Deadline for President to approve sabbatical submitted by the Provost (for fall sabbatical)

    April 12, 2018 — Deadline for HR review and all parties formally notified by the Provost's office

    May 31, 2018 — Deadline for sabbatical leave to be submitted to the departmental committee chaired by the department chair (for spring sabbaticals)

    June 14, 2018 — Deadline for sabbatical leave to be submitted by the Departmental committee to the Dean (for spring sabbatical)

    June 29, 2018 — Deadline for sabbatical leave to be submitted by the Dean to the Provost's office (for spring sabbatical)

    July 13, 2018 — Deadline for sabbatical leave to be submitted by the Provost to the President (for spring sabbatical)

    July 27, 2018 — Deadline for President to approve sabbatical submitted by the Provost (for fall sabbatical)

    August 10, 2018 — Deadline for HR review and all parties formally notified by the Provost
