Approval for early arrival from University Housing requires a documented, University-related reason that plays a critical role in the opening of the fall semester.  Early arrival must be requested by the group adviser or faculty/staff member associated with the reason. A cost of $16/person per night starting from the date of arrival until the regular check-in date (published in the University Housing contract) will be assessed for any early arrival approved by University Housing.

Guidelines for Early Arrival Requests:

  • All members of the approved groups must arrive on the same date.
  • Key pick-up is located at the front desk for each building on the group's designated arrival date and time.
  • Any student, without approval, who arrives earlier than the date and time designated on the Housing contract may be subject to a charge of $300 per night.
  • Walk-ups are not eligible for Early Arrival.
  • The Athletic Department will provide all documentation for fall sports athletes who need early arrival.  If you are an athlete and are unsure of your approval, please contact your coach.

Procedures for Early Arrival Requests:

  • The group adviser or staff member must email Laura Clay or Tracy Foss with the reason for the request, date and time needed for check-in, and a list of all students, CUID numbers, fall housing assignments, and billing instructions (designate whether the department or student will pay the nightly rate).
  • The group adviser or staff member will receive an email approving or denying the request.  For those receiving approval, the email will include specific instructions for early arrival.
  • The group adviser or staff member receiving approval of the request is responsible for providing the early arrival instructions to the individual student.

Need to stay late?

University housing must be vacated 24 hours after your last exam or by 10:00 AM the day following the last day of exams, whichever occurs first each semester. 

Spring semester and Summer Session II late stays must be requested by a University-sponsored group adviser or faculty/staff member.  Extended housing is only available for students who are participating in a University-sponsored group or working for a University Department that requires the student to be on campus 24 hours after the students last exam until no later than 10:00 a.m. on the day after May or August Graduation.   

Requirements and Procedures for Extended Housing Approval:

  • University group adviser or faculty/staff member must request approval by emailing Laura Clay or Tracy Foss.  The email must state the reason for the request, the date of check-out needed, and a list of the student's names, CUID numbers, and housing assignments. 
  • The adviser or staff member requesting Extended Housing will receive denial or approval through email.  If approval is granted, the adviser or staff member will receive email instructions regarding check-out procedures for the group members.
  • The adviser or staff member is responsible for providing all instructions to the group members who have been given late stay approval.
  • The Athletic Department will provide all documentation for athletes who need Extended Housing.  If you are an athlete and unsure of your late stay approval, please contact your coach.

Graduating or have a sibling graduating?

Graduating seniors must vacate their rooms by 10:00 am the day after graduation. The graduating senior does not need to request approval.  All graduating seniors on the University's list will automatically have their Housing contract date extended.

Siblings of graduating seniors must request permission to stay until 10:00 a.m. the day after May or August Graduation by emailing Laura Clay or Tracy Foss. The email must include the sibling's and graduating senior's names, CUID numbers, and housing assignments.  The student making the request will receive an email response giving approval or denial.  If approved, the student will receive check-out instructions in the response.

Staying for Summer School?

Students who have submitted Summer School Housing applications may be eligible for Extended Housing for the Spring Semester and Early Arrival for the Fall Semester. 

Students who are enrolled in one session of summer school (Maymester, Summer Session I, Summer Session II) are eligible to live on campus for the entire summer.

Students who are working for a University Department may be eligible to live on campus during the summer.  To be eligible to live on campus, the student must be enrolled in classes for spring and fall 2010 and provide documentation on department letterhead from the Department Chair that includes an explanantion of employment and the dates of employment.  The letter must be submitted to Laura Clay or delivered to 100 Mauldin Hall.  After the student receives an email with approval from University Housing, the student will be eligible to complete the appropriate application.

Extended Housing for Spring Semester for Summer School Students:

  • Students who have signed a Maymester or Full Summer Housing Application are approved to move out of their spring housing assignment no later than 10:00 am on the day after May Graduation.  The students are eligible to check-in to their summer housing assignment after 10:00 am on the same day. 

Early Arrival Housing for Summer School Students for Fall Semester:

  • Students who have signed a Summer Session II or Full Summer Housing Contract must complete an Early Arrival Approval Form that will be distributed to all students and/or available at the Summer School building's front desk. Instructions, costs and deadlines are listed on the form.
  • Students who complete and return the form will be sent an email with denial or approval along with instructions for the transition to their fall assignment.
  • Students are not guaranteed that their fall assignment will be available. If their assignment is not available, the student will be denied access.
  • For continuing students who receive approval, they are allowed to check-in to their room and will be charged $16/night from the transition date to their fall contract move-in date. 
  • For freshmen who attend Summer Session II, they are not allowed to transition to their fall assignment. The freshmen are only allowed to move their belongings into their fall assignment, if available, but not allowed to check-in. Freshmen must complete the Early Arrival Approval Form, but they are not charged a nightly rate since they are not allowed to check-in.
