Hall Manager
This supervisory position is principally responsible for the management of a residence hall or apartment area and the respective groups therein as well as the supervision and scheduling of 1 to 10 Desk Supervisors and 1-6 Night Hall Attendants. Position reports to the Associate Director of Housing Summer Programs.
PRIMARY DUTIES AND RESPONSIBILITES
Ongoing
- Be available by cell phone (24-hours) for call back or needs of participants/sponsors (phone provided by Housing Summer Programs)
- Communicate with the building staff on a daily basis regarding desk duties, problems, issues, groups, etc.
- Schedule and direct weekly staff meetings
- Communicate regularly with the Associate Director to address concerns, problems, issues
- Ensure that the building and front desk are maintained in a professional manner with excellent customer service
- Coordinate desk hours and scheduling for 2-14 staff members
- Work desk hours in the event a staff member is unable to work scheduled hours
- Assist and attend all group check-ins and check-outs in building(s)
- Abide by and support University policies and procedures representing University Housing in a professional manner
- Monitor staff performance, give recognition, and document any performance problems
- Review, correct, sign and submit timesheets to the Conference Assistant in the Summer Programs Office in accordance to payroll schedules
- Attend all weekly Hall Manager meetings; work Linen Crew shifts by distributing linens and making beds; work during Graduation Weekend Housing; provide luggage assistance for specific groups
- Learn and become proficient in Tribuo and Picture Perfect; ability to provide training for staff in Tribuo and Picture Perfect
Pre-Conference/Camp
- Assist staff with preparing key packets prior to group arrivals
- Distribute meal cards to sponsor(s)
- Coordinate key inventory ensuring accurate records at all times
- Ensure front desk has all needed registration/check-in materials
- Assist in the preparation of building for incoming conferences/camps by completing room inspections; submitting maintenance requests
- Attend any pre-conference meetings with the Associate Director and conference sponsors
- Create, post and maintain appropriate Summer Programs signage
- Review check-in/check-out schedules, room assignments, cleaning schedules, conference itineraries keeping abreast of all activities relating to respective buildings and conferences
- Contact sponsor at least 2 weeks prior to arrival to go over details for check-in
During Conference/Camp
- Be actively responsive to staff, conference sponsors/participants and to the Associate Director
- Assist with the coordination of check-in and out process; continue to review check-in, check-out schedules, room assignments, cleaning schedules, conference itineraries
- Maintain and update all records daily relative to each group in Tribuo
- Monitor the hall/lobby environment to ensure it is maintained in a safe and orderly manner
- Be actively responsive to calls at all times
- Read and respond to building logs daily; follow-up with staff regarding issues that arise and/or posted on building logs
- Maintain excellent relationships with staff, sponsors, participants, custodial staff, maintenance staff, and Student Patrol Officers
Post-Conference/Camp
- Contact program sponsor prior to check-out for opportunity to complete room inspections
- Coordinate post-conference/camp key inventory; pick up lost and found items and return to sponsor, document damages; submit recores for lost keys; and update Tribuo regarding missing check-outs, lost keys/fobs, and damages
- Submit a post-conference report for each conference/camp to the Associate Director
Qualifications and Requirements
- Have an interest in working during the summer months from May -August
- Must be willing to work 30 to 40 hours per week; not be employed by another department, organization or business; and not enrolled in Summer School classes
- Must be enrolled as a student in both the spring 2012 and fall 2012 semesters
- Maintain a cumulative minimum grade point ratio of 2.25 at time of submission of application
- Lived in University Housing for a minimum of one semester; required to live on campus from May-August
- Prefer that applicants have worked for University Housing previously
- Attend all mandatory training
- Must be organized, punctual, assertive, respectful, polite, detail-oriented, and have good communication skills
- Committed to displaying an exemplary attitude and providing excellent customer service
- Willing to work through challenging deadlines and have the ability to multi-task and troubleshoot problems
- Must be available for phone calls at all times and have limited time-off while buildings are occupied
- Must be committed to represent Clemson University and University Housing in a professional manner
- Must consent to a motor vehicle check, criminal background check and National Sex Offender Registry check
