Vehicle Request Policies

Motor Pool office hours are Monday-Friday, 7:30 a.m. to 4:30 p.m. Vehicle pickup must be scheduled and handled Monday-Friday only. Sorry, no weekends or holidays. (Dispatch is not responsible for errors due to requesting weekend or holiday pickups or for customers failing to pick up their vehicles during normal office hours.)

Vehicle requests are processed on a first-come, first-served basis. For planning purposes, requests should be made at least 72 hours prior to the desired pick-up time. Short-notice requests will be handled as expeditiously as possible.

All drivers must have a valid driver's license in order to drive Motor Pool vehicles. Drivers will be required to present their license to Dispatch prior to checking out any vehicle.

Should you decide to cancel your request, please do so prior to pick-up time. (A ONE DAY RENTAL CHARGE IS ASSESSED FOR FAILURE TO CANCEL PRIOR TO PICK-UP TIME.)

Vehicle drivers/organizations leasing vehicles are responsible for the return of folders, keys and credit cards. A $5.00 fee will be assessed for the loss of any of these items.

As a reminder, Maintenance, Fuel and Liability Insurance are included in the mileage rate.

Smoking is prohibited in Motor Pool rental vehicles. When evidence of smoking is found, the leasing department will be billed an additional $35.00 for cleaning.

The make and model of the selected type of vehicle will be assigned according to the Motor Pool's fleet management utilization goals.

Vehicles returned after their contracted return date will be assessed a late charge of a minimum of a one day rental or a one day rental charge for each 24-hour period late. Further fees may be assessed depending on the mileage accrued and the condition of the vehicle when returned.

Use of 12- or 15- passenger vans is intended for postsecondary school students attending or visiting Clemson University, as well as Clemson University faculty and staff. Dispatch reserves the right to deny or alter requests made for these vehicles when passengers might include secondary school students (or younger). For van drivers, a van driver course is available.

After December 31, 2005, without approval, 15-passenger vans will only be available for use on campus.

As a note to travelers: The current reimbursement rate for use of your personal vehicle is $.44/mile when a state vehicle is not available and $.40/mile when a state vehicle is available but the driver chooses to utilize a personally owned vehicle.
