Timesheets
To more fully comply with university procedures, CCIT’s policy has been amended in regards to graduate assistant timesheets. It is no longer required for assistants to complete formal timesheets. Graduate assistants are paid on a salary basis. It is the responsibility of the supervisor to ensure that the student works the number of hours agreed upon in the employment terms.
Terminations
Since graduate assistants are paid on a salary basis, their pay is calculated by the hourly rate and amount of hours/week that is provided to CCIT HR. Understand that the payroll function is not attached to the GAD. If a GAD ends, the pay will continue unless CCIT HR is notified that the assistantship has ended. It is essential that termination notices are received prior to the termination since the pay is distributed automatically and is not dependant on timesheet submission.
Holidays
The university does not require graduate assistants to make up time missed because of a campus-observed holiday but this is ultimately the decision of the supervisor. This should be agreed upon in writing before the assistantship begins.
Schedule Limitations
A domestic graduate assistant (U.S. citizen or permanent resident) may work a 30-hour work week during the semester. They may work 40 hours when classes are not in session. An international graduate assistant may work a 20-hour work week, 30 when classes are not in session.
Breaks between Semesters
Unless notified otherwise, the normal salary will continue throughout the break. Supervisors and students should work out an arrangement between themselves to work the hours. If the student will be away, CCIT HR can stop payment on their salary for a pay period or two. Some students may increase their hours during the break. CCIT HR can also increase the number of hours/week for a pay period or two. (US students cannot exceed a 40-hour work week in the payroll system. International students cannot exceed a 30-hour work week in the payroll system.) Supervisors may choose to take an average of hours worked through the break to decide if a change in hours is necessary.
