Step 1: Obtain Approval
Hiring a student requires approval from the appropriate executive director according to the processes set forth in that department. Before the position is posted and interviews begin, please make sure this approval is obtained. Note that all new student hire wages must fit into the current budget.
The requesting manager should send an email through their proper reporting channel to the department's executive director including the job duties, amount to pay the student and the projected date of hire. This email, once approved by the executive director should then be forwarded to CCIT HR. Once the position has been approved, the selection process can begin.
Step 2: Notify CCIT HR
After approval has been obtained, you may begin the selection process. Once the position has been offered to the student and the GAD secured, contact CCIT Human Resources with the appropriate information. Please follow this link to a pre-formatted email. Information needed:
- Student name
- CU Student ID# (this is not the Employee ID#)
- Major (Computer Science, Electrical Engineering, etc.)
- Degree (MS, PhD)
- International student (y/n) (if yes, see hiring international students)
- Type (see Title Description- GS2003)
- GAD Source
- Annual Amount
- Hours/week
- Anticipated Graduation Date

Step 3: On-boarding, Paperwork
(If the student is a current CU employee or has been within 1 year, skip step 3)
The student will need to complete new hire paperwork before beginning their new position. At this time, they will need to visit our College Station location from 10-noon or 2-4, Monday thru Friday. Map & Directions. Please inform the student to bring their social security card, driver’s license or photo ID and a voided check.
Step 4:
We will process the paperwork within 24 hours. An employee user ID will be automatically generated. (At this time, we ask that supervisors do not request personalized user ID's). Supervisors may retrieve the user ID by searching the CU phonebook under the employee's name. It will appear the day after the paperwork is processed. The temporary password is the last 5 digits of the SSN.
