How to Grant Delegate Access to your Exchange E-mail.

This feature requires you to use Clemson's Microsoft Exchange Server and a compatible mail client, For more information about Microsoft Exchange accounts and to enable your Clemson Exchange account, See Clemson Exchange Service description webpage.

Similar to having an assistant help you manage your incoming paper mail, you can use Microsoft Exchange and Outlook to allow another person, known as a delegate, to receive and respond to meeting requests or to send e-mail messages on your behalf. You can also grant additional permissions that allow your delegate to read, create, or have full control over items in your Exchange mailbox.

-For Outlook 2007 or Outlook 2010 on Windows.
-For Outlook 2011 or Entourage 2008 EWS on Mac Os.
-For AppleMail or Evolution.

Important information you should know.

Delegation and Folder sharing are similar, both can provide others access to your folders (inbox, Calendar, Contacts, etc... Though delegation has one major difference, it will allow your delegate to send e-mails and accept meeting requests on your behalf, where simple folder sharing does not. For simple folder sharing, see the sharing section of the Exchange client pocket Guide.

Outlook 2007 & 2010

Delegate stepsStep 1: With Outlook open.

    1. Select the File Tab
    2. Highlight the Info Section
    3. Click the Account Settings Button
    4. Click Delegate Access


For Outlook 2007 Users,
  1. Select Tools -> Options
  2. Select the Delegates Tab, then continue with Step 2

Delegate StepStep 3:

  1. Type all or part of the person’s name, then click Go.
  2. Highlight their name in the resulting list, click Add
  3. click OK.

Delegate StepStep 4:

  1. By default, Editor access is given to your Calendar and tasks, modify these as necessary.
  2. By default, your delegate will receive copies of your meeting related messages. With this option enabled, your delegate will have the ability to accept of decline meetings on your behalf.

    Uncheck this box if you wish them to not accept or decline on your behalf.
  3. Check the box for sending a message to delegate summarizing these permissions.

Delegate StepStep 5:

  1. Click to highlight your newly added delegate.
  2. The options in this section define how your meeting related message are handled.
    It is HIGHLY RECOMMENDED that you choose:
    "My delegates only, but send a copy of meeting requests to me. (recommended)"
    or
    "My delegates and me"

    The "My delegates only" option is not recommended.

    Click OK to finish.
Outlook 2011

Ol2011 Delegate stepStep 1: Open Outlook 2011

  1. Click Outlook
  2. Select Prefrences...

OL2011 Delegate StepStep 2: Click the Accounts Icon.

OL2011 Delegate StepStep 3:

  1. Click to highlight your Exchange Account.
  2. Click the Advanced... Button.

OL2011 Delegate StepStep 4: Select the Delegates Tab.

OL2011 Delegate StepStep 5: Click the "+" to add a new delegate.

OL2011 Delegate StepStep 6: In the Search box, type the first and last name of the person you are looking for.

Select the name of the person from the list.

Click OK.



 

OL2011 Delegate StepStep 7:

  1. By default, Editor access is given to your Calendar and tasks, modify these as necessary.
  2. By default, your delegate will receive copies of your meeting related messages. With this option enabled, your delegate will have the ability to accept of decline meetings on your behalf.

Entourage 2008 EWS

Entourage 2008 EWS StepStep 1: Open Entourage 2008 EWS

  1. Click Entourage
  2. Select Account Settings...

Entourage 2008 EWS StepStep 2: Double click your Exchange account to Edit.

Entourage 2008 EWS StepStep 3:

  1. Select the Delegates Tab.
  2. Click the Add... Button

OL2011 Delegate StepStep 4: In the Search box, type the first and last name of the person you are looking for.

Select the name of the person from the list.

Click OK.

AppleMail or Evoluton

AppleMail on Mac OS and Evolution on Linux do not support this feature at the time of this documents writing.
