How to connect a shared Exchange Calendar, Personal or Resource
Once you have been given the proper permissions, you can open another user's calendar in Outlook, ranging from view-only to delegate access. Based on the permissions you have been given, you may then view, edit, create, and/or delete new events on this calendar. For information on how to share your Calendar with other Exchange users see the How to Share your Exchange calendar.

Instructions below for:
Outlook 2010 or Outlook 2003 & 2007 on Windows.
Outlook 2011 or Entourage 2008 EWS & AppleMail 4.2 on MacOS.
Outlook Web App (OWA) in your Web Browser.

Important information you should know.

-For Personal calendars, (Supervisor, Coworkers, etc..) you should send them an e-mail asking them for permissions to their calendar.
-For Resource calendars, (department calendars, conference rooms, etc..) you will need to e-mail ithelp@clemson.edu to be granted permissions.

Outlook 2010

Cal Step1Step 1: In outlook

  1. Select the Calendar from the (left) Navigation Plane.
  2. Click the Open Calendar button from the Ribbon
  3. Select "Open Shared Calendar"

 

Cal Step 3Step 2: Click on "name".

Cal Step 4Step 3:

  1. In the search box, Type the first and last name of the user you are looking for.
  2. Select the name of the person whose calendar you would like to view from the list.
  3. Click OK.

Note: This person must first grant you permission to view their calendar.

Cal Step 5Step 4: Click OK

Cal Step 6Step 5: The name of the shared calendar will also appear on the left-hand side of the screen in the Navigation bar with a checkbox beside it.

TIP: You can uncheck this box to close the shared calendar. You can recheck this box later to view the shared calendar again.


Outlook 2003/2007

Cal Step 1Step 1: In outlook 2007, select the Calendar from the (left) Navigation Plane, and select "Open Shared Calendar..."

Cal Step 3Step 3: Click on "name".

Cal Step 4Step 4:

  1. In the search box, Type the first and last name of the user you are looking for.
  2. Select the name of the person whose calendar you would like to view from the list.
  3. Click OK.

Outlook 2011

Cal Step 1Step 1: Click the Calendar button on the navigation pane.

Click the Open Calendar button.

Click the icon to the right of the User: input box.

Cal Step 2Step 2: In the Search box, type the first and last name of the person you are looking for.

Select the name of the person from the list.

Click OK.

Outlook Web App

Step1:Open your web browser of choice.

OWS REC Step1Step2:Type http://xmail.clemson.edu into the address field and hit enter.



Step 3:Type in your username and password and click Sign in.

OWS REC Step1Step4:

  1. Click Calendar in your side bar.
  2. Click the Share drop down
  3. Select Add Calendar...

 

OWS REC Step1Step5: In the "Calendar from your organization section", Click Name...

OWS REC Step1Step6:

  1. In the Search box, type the name of the Person or Resource you are looking for.
  2. Click to highlight your selection
  3. Click Select to add your selection.
  4. Click OK when finished.

 

OWS REC Step1Step7: Review your additions, if they look correct, click OK.

OWS REC Step1Step8: Your new calendar will be loaded into the side bar on the left.

Clients - Entourage 2008 EWS & AppleMail 4.2+

Important information you should know.

Entourage 2008 "EWS" and AppleMail Mail 4.2+ (OSX 10.6+) are required when using Exchange 2007 and newer. Please update your e-mail client to use these features.

Entourage 2008+EWS: 

   1. Open Entourage.
   2. Click Calendar in the upper left corner of the window.
   3. Click File > Open Other User’s Folder....
   4. In the User: box, type the name or the USERNAME of the person whose calendar you want to open.
   5. Click OK.
   6. The shared calendar appears in the calendar list on the left side of the window.
   7. Select the shared calendar to view it.
Applemail / iCal

With iCal Open:
  1. Click ICAL -> Preferences.
  2. Click on the Accounts tab, and click to select/highlight your Exchange account.
  3. Click on the delegations tab. 
  4. Click the + symbol and type in the first and last name of the user you want to share with.
  5. Select the user that's name and e-mail match who you want to view.
  6. Tick the "Show" button to show their appointments in your calendar.
