HOW TO - Migrate mail.clemson.edu to g.clemson.edu account

The following steps need to be completed in order to migrate from the old legacy Clemson mail server mail.clemson.edu (also known as Clemson Web Mail or Squirrel Mail).  This procedure uses Google's Mail Fetcher to download (POP) your Clemson mail box to your new Clemson gmail account.

  1. Clean up your email
     
  2. Create a g.clemson.edu account
     
  3. Update your email forwarding
     
  4. Set Clemson gmail to download messages from mail.clemson.edu
     
  5. Gradually move other Clemson Web Mail mailboxes to the Inbox to complete the migration.

 

Step One - Clean Up Your Email

This applies if you use Clemson Web Mail (also known as Squirrel Mail) or if you use a mail program like Pegasus, Eudora, Outlook or even Apple Mail.  Cleaning your mail box doesn't have to be painful.  Don't waste time trying to review individual messages.  That *would* be a pain!  Instead, make some sensible decisions about what you need to keep

  • Review your list of mail boxes/folders.  Can any of them be deleted or consolidated?  
  • Can some mailboxes be archived and stored elsewhere "just in case" you ever need them?  [link for webmail archive instructions]
  • Purge your trash mailbox.
  • Search for and delete store and vendor ads.  If you are like most of us, a search and delete for the names of your favorite stores will eliminate a few hundred messages.  And don't worry, you will soon get new ones to replace the outdated ads.  
  • Set up another search for all the joke messages sent by your cousin/uncle/brother.  Like the store ads, they will soon be replaced by new jokes.

Afew of these search and deletes will clean up your email box nicely.  Whatever is left is what you will move to your g.clemson.edu account.

 

Step Two - Create a g.clemson.edu Account (aka Clemson Gmail)

Step Three - Update Your Email Forwarding

Once the g.clemson.edu account is created and the password is reset to your personal password, you can update your email forwarding.  Go to http://www.clemson.edu/ccit/email_forwarding/


Put a check in the box "Deliver email to my Google Apps for Education mailbox (g.clemson.edu).

Remove the check in the box for "Deliver email to my Clemson mailbox (mail.clemson.edu).” Once this is checked, any new mail will go to your g.clemson.edu account.

 

Step Four - Set Clemson gmail to download messages from mail.clemson.edu

  • Sign into your Google Apps inbox
  • Click the gear icon in the top right and go to settings
  • In the settings page click the ‘Accounts’ tab
  • Click ‘Add a POP3 mail account you own’
  • Enter your email address @clemson.edu and click ‘Next Step >>”
  • Fill out your username and password. The rest of the settings should be automatically populated.
  • Click ‘Add Account >>”
  • Select Yes and click ‘Next Step >>” until you get to the verification window
  • Click ‘Send Verification’ and an email will be sent. You will need to read this email and enter the verification code to complete the process

 

Step Five - Gradually move other Clemson Web Mail mailboxes to the Inbox to complete the migration


Google will get your email gradually over time (POP) 200 messages at a time every 6 minutes if it is the front-most ACTIVE window on your work station. And only from your in box on mail.clemson.edu.

If you have a lot of email, you may want to run this all night. Make sure the gmail window is front-most and active.
