Electron Microscope Facility Inter-Departmental Orders (IDOs) Policy

I.
CUBO 316S (IDO’S)/SCHEDULING SCOPE TIME
In order to utilize the EM Facilities, all users must have 1) a signed IDO (with a unique Document Number) on file; 2) an appropriate account (project number) and 3) a departmental default number. Incomplete IDOs will be returned and must be completed before any services will be provided. Journal entries will be processed at the beginning of the month immediately following the month in which the services were provided. All journal entry errors that are a result of insufficient funds or an invalid project number will be corrected to the departmental default number as soon as possible, but within less than three working days.
Inter-Departmental Orders (IDOs) Procedures
The IDO must be completed and approved prior to the time the facility services
are required. The fully executed IDO will allow the user to gain access to the EM
Facilities. The IDO is an official document and is considered authorization to submit a
Journal Entry for payment of services rendered.
1. The completed IDO must be on file before a username and password will be
issued. A University user will not be able to reserve microscope time without an
IDO, a University user ID, and a password.
2. Usernames and passwords will be removed the last day of the month unless a
valid IDO is on file for the next month.
3. IDOs for services provided will be processed at the beginning of each month by a
Journal Entry into CUBS.
4. All Journal Errors will be corrected to the departmental default account by a staff
member in the Office of the VP for Research and Economic Development as soon
as possible (within 3 working days) to eliminate delays in the processing of the
Journal Entry.
5. An incomplete IDO will be returned to the University user to complete and return.
A completed IDO must be on file before access will be granted.
II. INSTRUCTION
1. The CU E.M. Lab is a
teaching facility. Each user will be instructed on how to use the
E.M. Lab
equipment she/he will need. Once initial
instruction is complete, the user will then be responsible for her/his
own work.
2. Only the E.M. staff is
authorized to train users. Students are not to teach anyone!
III. CHEMICAL
WAVERS
1. All users must
sign and return a waver concerning all the chemicals in the EM Lab.
Ask the staff about disposal and
handling of these
chemicals.
IV. CHARGES
1.
There will be a charge for all billable supplies used in the facility.
Charges will be billed to the user's department once
a month. Supplies
can only be obtained from the staff—do not open cabinets
or desks without prior permission from the staff. Please respect
our
system
and our privacy.
2. Users will be charged an hourly rate for scope time. Prevailing
rates may be obtained by calling 656-2465
V. AFTER
HOURS USE OF THE FACILITY
1.
Approved persons may use the facility after hours. Please see staff
concerning this policy so one may receive card access.
Access cards
are to be used by the owner and no one else. Be aware the security
cameras are operating at all times for your safety.
2. Everyone using the facility after 4:30 p.m. Monday through
Friday and on weekends must be on the computer file to enter.
Only persons
with valid cards are allowed access, no visitors allowed.
VI. PROBLEMS WITH THE EQUIPMENT
1. Problems involving
any of the equipment must be reported to the staff; this will help
ensure speedy repairs.
Please do not attempt
to repair equipment on your own.
2. Problems after hours: Turn equipment off or at least turn the
filament off. Leave a note on the machine for the lab personnel.
The E.M. Lab staff realizes that rules cannot be upheld all of the
time; therefore, exceptions can be made under reasonable circumstances.
The staff will determine what is and isn't reasonable.
Please let the staff know if you have any questions concerning these
policies. Also, please pay attention to all signs posted around the
lab. They apply to everyone. |
