Communicating with university audiences

April 8, 2008

Starting this week, the Faculty-Staff Web page will be the primary means of communicating with faculty and staff. News stories and features will be updated throughout the week, and the online master calendar is brimming with events, so you should look online every day if you don’t want to miss anything.

Inside NOW, an e-mail compilation of multiple news items, will be limited to once per week, on Wednesdays. However, we cannot possibly include every campus announcement and every upcoming event. We will select a variety of announcements for the Inside NOW e-mail and post others to the Web page. You should consider other strategies to publicize your events and programs.

Other messages will be combined when possible, such as parking and road closures. We’ll continue to send announcements from the Clemson University Police Department as promptly as possible.

If you supervise employees without easy access to e-mail or the Internet, please print out and post important notices.

If you are responsible for helping to publicize the events and activities of your college, unit or organization, take note of the following suggestions and deadlines:

Communicating with Faculty and Staff

Submit information for possible inclusion in the weekly Inside NOW e-mail. Selected items will be included; most items will be added to the Faculty-Staff Web page.

  • Sent items via e-mail to: Inside@clemson.edu
  • Include all pertinent details, including a contact name and phone number
  • Add a descriptive subject line to your e-mail instead of "Item for Inside" or "Something for faculty and staff"
  • Deadline for submission is noon on Tuesday for e-mail to be issued on Wednesday
  • Call Beth Jarrard, public information director for internal communications, at 656-3860, if you need to discuss a communication issue

Add events to the online master calendar so that everyone, including the public, can access the information. From the Faculty-Staff Web page, access the online master calendar by clicking any day of the calendar in the right-hand column. View events for that day or navigate to other days, the current week or month, or into the future. Add your own university events by clicking "Add Event" to the left of any calendar page and follow the instructions.

Also consider:

Target your communication to the most likely audience, and customize your contacts to that audience rather than requesting communication to all 4,000 faculty and staff through the state.

Contact the office of your dean or vice president and ask to use their listserv for your notice.

Enlist the assistance of the public information director in your college. There are also public information directors in news services assigned to every college and division. They can advise you on communications needs.

Capture names and contact information of those who are interested in your activities by using sign-up sheets or adding a subscribe feature to your Web page.

Post information to the Student Digest, intended for the promotion of activities/events or the communication of other appropriate information that may be of interest or value to students. It may also be used for limited recruiting and fundraising purposes. Routine meetings of an organization should be announced through an organizational LISTSERV(R) email distribution list set up to contain all the email addresses of the members of the organization.

  • Go to the Student Digest Web page
  • Scroll down to “Submission Procedure” and follow instructions
