We ask that authors try to contact us as early as possible to plan production of their publications. We realize that many publications needs can not be anticipated in advance, and we do everything that we can to complete projects by the date they are needed.
Most PSA publications are distributed by the Clemson University Bulletin Room and can be ordered through our web site at Clemson University Public Service Publishing .
1. The best way to start your publication is to confer with your department chair to assess the need for the publication, plan market targets, discuss funding and determine priority. Ideally, this should take place before or during the budget planning process.
2. Once the publication has been written, it is a good idea to have it reviewed within the department by other specialists in the subject area or colleagues at other institutions.
3. Contact Public Service Publishing as early as possible to plan production. It is best to have as much working time as possible to produce the best result.
4. For each publication, the author or coordinator should complete an Approval for PSA Printing Form at http://cufan.clemson.edu/olos/request.htm. The form asks for specific information that can help publications specialists to plan the project. The author should also specify the desired completion date, account numbers and budget estimates. Public Service Publishing can help with information on some of the items.
5. Funding for publications may be derived from three sources: 1) departmental funds, 2) grant funds or 3) printing pool funds. If funds are departmental, grant funds or any University account number other than the Extension Printing Pool Account, be sure to enter the account number in the appropriate field.
6. The Approval Form should be routed through the department head or project team leader and to the Publishing Department.
7. Text, photos, figures, graphs and other materials should all be sent to the Publishing Department by the date indicated on the Approval Form. The project officially begins when the approved Approval Form, the text and all photos and graphic materials are received in the Publishing Department.

You may send text to the Publishing Department in an email message or as an attachment in any word processing format. Sending only hard copy or other nonelectronic copy will lengthen the production schedule and increase costs. A carefully proofread hard copy should be sent as a means to check the electronic copy. Design, artwork and other original graphic work can not be started until after the text is received.
Make sure all information, text, photographs, tables, graphs and suggestions for artwork are sent to the Publishing Department as soon as possible, preferably when the text is sent. Those items, if they are digital, may be emailed as attachments or copied to the network address \\Caflsd\share\DEPTS\EVERYONE\ADDIS.
Photographs needed for publications should be supplied by the author, but only photographs that are of high technical quality and that communicate effectively will be printed.
Turnaround time is difficult to generalize. A very simple publication may take only a few days; a complicated one may take months. Editors and artists are usually not able to begin work on a publication on the same day it arrives in the Publications Department. If necessary, a tentative delivery date can be projected after we determine all the processes and steps involved in the production and how it fits in with other priorities.
One step that is fairly predictable is the bidding process. If a publication will cost more than $2,500 but less than $10,000, it must be sent out for bids. This process adds about 5 working days to the production time. If the job will cost more than $10,000, it must be advertised by the State Purchasing Division for bidding which requires about 15 working days.
The Bulletin Room is responsible for storage of most PSA, Extension, and research publications and distribution to selected outlets. For inventory purposes and to ensure product quality, the Bulletin Room will store and distribute only publications for statewide distribution that are routed through the Publications Department.
When stocks are depleted, the publication can be revised, reprinted, converted to digital format or removed from inventory, according to authorês or departmentês instructions. If an item is for-sale and the stock is sold-out, it will be automatically reprinted and restocked at no cost to the author or originating department.
On the Public Service Publishing web page, there is a Feedback link where, at any time, anyone can indicate topics on which they would like to see new publications. Agents and others are encouraged to send suggestions and ideas for publications for which they see a need. These suggestions are forwarded to the appropriate department head or team leader. From that information, the subject matter specialists can develop proposals for the publishing they would like to do.
