ROLE OF CLUB OFFICERS
The daily operation of the club is the responsibility of its officers. The contribution of each officer is vital to the club’s success, but it is the president who is ultimately responsible for seeing that the club functions smoothly and effectively.
President’s Duties
• Presiding over club meetings and conducting club business.
• Ensuring club compliance with Clemson University policies and regulations and Department of Campus Recreation guidelines and procedures for the operation of sport clubs.
• Ensuring that all requirements for maintaining recognition as a student organization are met and that all required forms are submitted in a timely manner.
• Ensuring that proper attention is given to risk management through implementation of the Risk Management plan
• Representing the club at meetings of the Club Sports Association.
• Appointing committees.
• Working with the treasurer and other club officers to prepare the annual budget request.
• Managing the annual budget.
• Approving club purchases and requests for reimbursement.
• Maintaining communication with the Club Sports Director and the club advisor, keeping them informed of club business.
• Demonstrate the characteristics of a leader and provide example for other club members to follow.
Vice-President’s Duties
• Performing all duties of the president in his/her absence.
• Assisting the president with his/her duties as requested.
• Serving as chair of the Program or Special Events Committee.
Secretary's Duties
• Recording the minutes of all meetings.
• Completing and submitting required reports to the Club Sports Office.
• Handling club correspondence.
• Checking the club mail box on the second level of FIKE Recreation Center at least weekly.
Treasurer’s Duties
• Maintaining appropriate records of the financial transactions of the club and ensuring that all records are retained.
• Working with the club president and other officers to prepare the annual budget request.
• Approving club purchases and requests for reimbursement.
• Monitoring expenditures and making regular financial reports to the club.
• Keeping the budget up to date and informing the president of the current balance.
Equipment Manager’s Duties
• Checking out equipment to club members who have been properly trained in its use.
• Maintaining records on equipment checked out and returned.
• Ensuring that equipment is maintained in good, safe operating condition.
• Providing routine maintenance on all equipment.
• Reporting equipment damages and/or losses to the Club Sports Office.
• Maintaining an up to date inventory of equipment and submitting an annual inventory report to the Club Sports Office.
• Conducting regular inspections of equipment for safety and maintaining a written record of deficiencies and steps taken to correct them.
• Meeting with the Club Sports Director for an annual inspection of equipment.
Risk Control and Safety Officer’s Duties
• Implementing and promoting the Risk Management Plan within the club.
• Monitoring club adherence to the Risk Control guidelines and reporting any discrepancies to the club president.
• Ensuring that a Release and Waiver of Liability/Informed Consent is completed by each club member and on file in the Club Sports Office prior to his or her participation in club activities.
• Ensuring that activity rules and regulations for promoting safe participation are maintained up to date and communicated to club members.
• Ensuring that an Accident/Incident Report Form is completed and turned in to the Club Sports Office within 24 hours of the occurrence of an injury or illness (if on a trip, within 24 hours of returning to campus).
ROLE OF CLUB ADVISOR
Each sport club must have a full time faculty or staff member of the University as its advisor. He/she should be a person who is accepted and respected by club members, has a strong interest in the club, and is willing to attend some of the club’s meetings and activities. While not required, it would be helpful if the advisor were experienced in the sport or interest area of the club. The advisor serves as a resource person to help provide direction and continuity to the club. He/she can contribute valuable knowledge and experience related to University operations and policies. The advisor may be called upon to give input and/or feedback regarding the programs and activities of the club, but his/her foremost task is to facilitate self-government by the students, while providing help or guidance as needed.
Responsibilities of the advisor could include:
• Being available to meet with the president and other officers as needed.
• Acting as a sounding board for the club in dealing with ideas and concerns.
• Advising the club regarding University policies and procedures.
• Encouraging the development of initiative, responsibility, and leadership in club members.
• Assisting the club in defining and achieving its goals and objectives.
• Reviewing the club budget and making recommendations as appropriate.
• Encouraging sound financial practices for the management of club funds.
• Keeping informed regarding club business and activities.
ROLE OF COACH/INSTRUCTOR
While each club may choose whether it wishes to have a coach or instructor, the Department of Campus Recreation recommends that competitive teams have a coach who is at least 21 years of age (This may be a requirement of some leagues or conferences.) The Department of Campus Recreation is not responsible for the selection, training, supervision, or compensation of coaches or instructors. They should be selected on the basis of their expertise and experience in the sport, certifications as appropriate, personal references, and their perceived ability to relate to club members. It is suggested that the club provide the coach/instructor with a position description that includes his/her responsibilities and authority. Several forms, including a Coach/Instructor Application and a Club and Coach/Instructor Agreement are available for club use. Copies of the completed forms should be provided to the Club Sports Office.
The responsibilities of the coach/instructor should include:
• Following risk control and safety guidelines as established by the club, the Department of Campus Recreation, and/or any other governing bodies for the sport or activity.
• Coordinating practices/classes and providing instruction and training that will help club members to develop and improve their skills.
• Providing on court/on field management for competitions.
• Promoting fair play and sportsmanship at all practice/class sessions and competitions.
• Abiding by all applicable rules and regulations of Clemson University and any conference, league, or association to which the club may belong.
• Conducting himself/herself in a professional manner that will reflect positively upon the club and Clemson University.
ROLE OF A TRIP LEADER
The Trip Leader should be a mature, responsible, and experienced leader within the club who preferably has a current certification in First Aid and CPR.
The responsibilities of the trip leader include:
• Reviewing the Checklist for Club Travel to ensure that all requirements are met.
• Completing and submitting required paperwork to the Club Sports office in a timely manner.
• Making travel arrangements.
• Following applicable risk control/safety guidelines as established for the Club Sports program.
• Documenting and reporting accidents/incidents that result in injury to participants through completion and submission of an Accident/Incident Report Form to the Club Sports office.
ROLE OF CAMPUS RECREATION
The Department of Campus Recreation provides a diversified program designed to meet the recreational needs and interests of the University community. The Club Sports Program promotes participation in a wide variety of sport and outdoor recreation activities, complementing the University’s Intramural Sports Program and Outdoor Recreation Program. While the Department of Campus Recreation provides advisement and administrative assistance to clubs, emphasis is placed on student leadership and involvement, with the success of each club dependent on the dedication and commitment of its student leaders and members.

Other Responsibilities:
• Administration of club accounts (for those clubs funded by Student Government).
• Preparation of University requisitions and purchase vouchers.
• Scheduling of Campus Recreation facilities for club activities.
• Assistance with budget preparation.
• Training of club officers.
• Guidance related to compliance with University policies and regulations and Campus Recreation requirements.
• Risk management planning.
• Assistance with publicity and promotions.
• Equipment loan service.
• Provision of storage space for equipment and supplies.
• Preparation and maintenance of fields.
