Recovering deleted e-mail messages using Outlook & OWA

Summary: This article explains how to recover deleted items from an Exchange mailbox using Outlook 2007 & 2010 for Windows, Outlook 2011 for Mac, and OWA.

Important information you should know.

The Clemson Exchange server is configured to save permanently deleted items in retention for 30 days after being emptied from your deleted items folder. By default, Outlook installations will only allow you to use the Recover Deleted Items option from the Deleted Items folder. Items become permanently deleted from several methods:
  • Emptying the Deleted Items folder.
  • Hard deleting items (holding down the Shift key while deleting).
  • A separately configured e-mail client is configured to POP, therefore moving e-mails directly from the Exchange mailbox to the local machine.
  • Modifying the contents of the "Microsoft User Data" folder on a Mac.
Recovering Deleted Items in Outlook 2007 & 2010

Click on Tools > Recover Deleted Items...

Select the Folder Tab, and click the Recover Deleted Items button

Step 2: While using this feature, you will see a window similar to this. It will show all items in your retention. This data can be sorted by Subject, Date deleted, From, and Date originally received.

Single or Multiple items can be selected (Ctrl + left-Click)

When you are finished selecting, click the the Recover icon(an envelope with an arrow:Recover Email Icon)

This will send the item from retention back to the folder from which it was permanently deleted (in this case - Deleted Items folder).

OWA & Outlook 2011, Entourage 2008EWS for Mac

Enter your Username and Password and click Sign in.

Step 2: Right-Click on your Deleted items folder and then select Recover deleted items.

Step 3: Select Deleted Items you wish to recover.

Single or Multiple items can be selected (Ctrl + left-Click)

When you are finished selecting, click the Recover button (1) recover the selected items.

This will send the item from retention back to the folder from which it was permanently deleted (in most cases - the Deleted Items folder).
