Classroom Assignments - 25Live

Clemson University's scheduling tool, 25Live, is used to help schedule, optimize and allocate resources. The system assigns rooms to all scheduled sections that need space on campus.

25Live also features a public-facing component that allows registration and room coordinators to request or schedule events and search for a wide variety of information regarding rooms and events. After the mass room scheduler assigns rooms to courses for the following term, registration and room coordinators can log in and make room changes and new assignments. Once all sections have rooms, anyone with access is allowed to schedule events in available spaces on campus.

Anyone visiting the website may view 25Live. All users have query access to search for rooms, check out availability, and view basic event information. Access to advanced functionalities, including room assignments and event scheduling, is currently available to registration and room coordinators and selected staff members. Please note: 25Live only stores information on academic buildings. Information on and schedules for non-academic buildings and rooms cannot be found in this system.

How to Access 25Live

All current faculty and staff may access 25 Live using their Clemson login credentials.

Before using 25 Live, you will need to review the 25Live: Find a Space training video which will walk you through how to find an available location for your class or event.

If you are a new Room Coordinator and will be responsible for reviewing and approving requests for particular rooms, you will need to email the Academic Scheduling Team after attempting to log in to 25 Live. In the email, please indicate what building(s) and room(s) you will be responsible for managing. A member of the Scheduling team will then contact you for more information if needed.

Courses in 25Live and Scheduling Rooms

The 25Live system automatically assigns each course to a room. However, if the mass scheduler does not find a room for a particular class or section, a registration/room coordinator or faculty member can go on to 25Live and find an available university classroom. Once a room is identified the assignment must be made in Banner by a registration coordinator.

Information entered in Banner updates in 25Live every three minutes on weekdays if the system does not find conflicts. Refresh the page until you see the room assignment coming through. If it is still not showing after five minutes, double-check room availability in Banner on the SSAMATX form, then email Academic Scheduling with the CRN number and the room you wish to assign to the section.

Do not schedule any sections in another department’s department-owned room without the room coordinator's permission. You can see the room coordinator's information by clicking on a room location and then on the details tab.

Event Scheduling in 25Live

While you will not typically be able to assign rooms to courses in 25Live, the system should be used to schedule events. Please Note: Events cannot be scheduled in 25 Live until after the first week of classes for the term in which the event occurs.

Edit your events by clicking on the paper with a pencil icon next to the event name or by clicking the "Edit this Event" link. Once selected, the event will open in the "Event Creation and Editing" tab with all blocks in green. You may then change any details besides the Event Type.

Every saved event is associated with a Reference ID. You may view this number listed in the Event Details block after opening it. The reference ID consists of the year, then a six-character letter combination (i.e., 2013—AAAZJB). You can enter this code into the Quick Search box to directly open your event without keywords and more search criteria.

You may also cancel individual dates from a recurring event. Start by opening the event that needs to be edited and click on its edit icon. Scroll down to the Occurrence List. Here you can cancel individual dates by changing the active status to "canceled" and then clicking "save."

Frequently Asked Questions

  • 25Live says that no locations are available for my event. Is that right?

It depends on your search criteria. It is possible you will not find large university classrooms during the prime time of classes. In most cases, however, you can try to remove some criteria to widen your search.

  • Can I use any browser with 25Live?

25Live best works with Google Chrome or Safari. You may experience lost functionalities or slow responses with other browsers. We strongly urge all users NOT to use Internet Explorer.

  • Why does 25Live seem to be running slowly?

25Live is not just a simple website, it is a complex and full featured application that has the potential to process hundreds of requests such as location searches and event changes. Speed can vary based on your network connection, the number of users, the browser used and a number of other factors. Use the website's refresh button to display information the soonest possible.
