Academic Advisors

Academic advisors represent and interpret University policies and procedures to the students and help the students to navigate the academic and organizational paths of the institution. They assist students in scheduling courses so as to fulfill the requirements of the degree program. Advisors also maintain files on individual advisees to assist in academic planning.

Change of Academic Programs

Does your advisee need to change their major? Declare or change their minor, concentration or curriculum year? Need the Major or Minor Code?

  Advisors may request access to the Reporting Dashboard by emailing Juan Xu at jxu2@clemson.edu.

• Registration PIN
  Display Student Registration PIN(s)

  1. In the iROAR Administrative Users Tab, select Faculty/Advisors Self-Service.
  2. Click Display Student Registration PIN(s):
     • Search for an advisee using CID or Student Name.
     • Or, choose Display All my Advisees.
     • Click "Download" to export to Excel Spreadsheet.
  3. Alternatively, select Advisee Listing from the Student Information Menu:
     • A list of your advisees will be returned.
     • You can elect to Display Email List.

  Students should only receive their PIN after they have been advised. The PIN is required to access iROAR Registration. No other person or department is authorized to provide PINs to students.

• Advising Profile
  1. In the iROAR Administrative Users Tab, select Faculty/Advisors Self-Service.
  2. Select Advising Student Profile
  3. Search for your advisee by name, CID or email.
  4. Alternatively, you can choose View my Advisee Listing.
     • Student Information to be Returned:
       Biographical
       Degree
       GPA
       Curriculum
  5. Select Registration Notices or Holds to view student Registration Status.
  6. Select Curriculum, Hours & GPA to view degree information.
  7. Use links on the left to return additional Student Information.
• Changing Persona in iROAR
  1. For multiple roles, such as both advisor and also a student, you will be prompted to choose your persona.
  2. At the prompt, select your role.
  3. Each persona has a different level of access.
  4. You can change your persona at any time:
     • Click the persona selection at the top of the page, i.e., Student or Advisor.
     • You will be prompted to select an alternative persona, click OK.
• iROAR Report Generator
  1. Go to the iROAR Report Generator
  2. Choose to view iROAR Reports or search for Student IDs.
  3. Enter your search criteria.
  4. Select Download to export data to Excel spreadsheet.
  5. Note: Pay close attention to Veteran student information. Check to ensure Veterans or their Dependents are on track to graduate as the VA only pays for a certain amount of credit hours

• Change of Major Workflow
  1. Email notifications are sent to the approver of requested major.
  2. Click on the URL in the email to approve, deny, release or place a hold on the request.
     • "Hold" allows the request to be placed on the worklist and approved at a later date.
     • "Release" should only be selected when a request has been opened inadvertently.
  3. If you are asked to provide a new advisor, enter their name and click Continue.
  4. If no further approvals are required, such as Double Majors or Two Degrees, the request is sent to ESS for processing.
  5. Once processed, you will receive an email notification. The email will also be sent to the student, previous advisor, and new advisor.

• Create a "Plan Ahead" Student Registration Plan
  1. In the iROAR Faculty/Advisor Self-Service Tab, click Plan Ahead Student Schedule.
  2. Select the term you want to plan for.
  3. Enter the student's name or CID for whom you are creating a plan.
     • You can create up to two plans for your advisees. Students can register from your plan--this is not required but can use it as a guide.
  4. To start, select Create a New Plan.
  5. Search for the courses to add to the plan:
     • You can enter several course subjects at one time.
     • Use the Advanced Search feature for more specific criteria.
     • Click Search
  6. You can add the course (STAT 3090) or specify a course section (STAT 3090 001), click ADD.
  7. Courses are not saved to the Plan until you click Save Plan.
  8. You can go back and add more courses or edit the courses at any time.
  9. Return to Select a Plan:
     • View plans a student has made
     • View plans you have made for your students
     • Approve any plan by clicking Approve Plan
     • Remove approval by clicking Remove Approval

• Degree Works

  A Degree Audit will populate all course information for a student, including completed courses, transferred courses and courses currently enrolled in.

  1. Degree Audit for one student: enter their CID in the Student ID field and click ENTER.
  2. Multiple Student Audit: click "Advanced Search" located under Student ID box. Use the search box to limit your search by:
     • Major
     • Minor
     • Concentration
     • Program
     • Degree
     • Catalog Year
     • Academic Class
     • Student Type
  3. Click the Search button and then Select. Then use drop down arrow in "Select Student" field to view results.
  4. Note: There is a maximum multiple search of 500 students. To avoid an error message, narrow your search further, by curriculum year, for example.
  5. To ensure accurate information, click Refresh (pulls new information from INB) and then click Process (sends new information to Degree Works).
  6. Credits applied on the left side include courses the student is currently taking.
  7. Use the drop-down arrow next to "Select Student" to toggle between audits.
  8. Advisors must ensure their advisees meet the 31 hours of general education classes.
• Orientation—Advising First Year and Transfer Students

  Spring 2024

  Spring orientation is scheduled for January 8, 2024.

  Continuing student registration will be blocked January 4 at 11:59 p.m. in order to facilitate Spring Orientation . Registration will re-open January 8 at 4:30 p.m.

  • New students are limited to 17 credits
  • Credits for all students increase to 21 on January 9
  • Increases above 21 credits can be requested beginning January 9—email Registration Services

  English 1030 Fall/Spring Division

  First year students, by college, to take ENGL 1030 in the fall vs the spring for the 2023-2024 academic year.

  SLACK Channels

  SLACK is used by advisors, registration coordinators and registration staff for communication during orientation registration for enrollment assistance and troubleshooting registration issues. Channels within SLACK are course-specific and are monitored by the registration coordinator responsible for that course or courses. You can look up coordinators (by course) on the Registration Coordinator page if you are not familiar with who coordinates which courses, or you need to reach them outside of registration SLACK times. Use the #registration channel if you need assistance with an unexpected registration issue or something the coordinator was unable to resolve. Use the #time-tickets-reg channel for any time ticket questions or issues.

  The Slack workspace we use for orientation registration is https://cuenrollment5103.slack.com. If you are new to your role and need access to the workspace, please email Gabrielle Compton or Kelly McDavid. If you have used this workspace previously, then your account may have become inactive.

  To reactivate your account, you will need to use your Clemson email address as the username. It is important to note that this workspace is not included in the DUO single sign process, so you will have a separate password. If you do not remember the password originally used at set-up, you will need to click on the “Get help signing in” link under the Sign in button. Please reach out to Gabrielle Compton if you have any technical issues with the workspace.

  PLEASE NOTE that SLACK now requires two factor authentication. Please have 2FA for SLACK set up prior to orientation.

  Coordinators and registration staff are available via SLACK during registration times on the dates specified in the Orientation Registration Schedule.

  Email Lists

  Would you like to receive emails from Registration Services regarding New Student Advising? Email Kelly McDavid with email preferences.

• Lecture/Lab Information
  Tips for scheduling lecture and lab combinations:

  • A lab corequisite is designated by the course number ending in 1, e.g. COMM 1501 is the lab corequisite for lecture COMM 1500
  • Lecture and lab corequisites must be scheduled together in iROAR or the student will receive a "Missing Corequisite Error"
    1. Write down the 5 digit CRN (Course Registration Number) for the lecture
    2. Search for the labs and write down the CRN for the desired section (click course title to view CRN)
    3. Click on the "Enter CRNs" tab at the top of the registration pane
    4. Enter the CRN for the lecture and the lab and click "Add" and then click "Submit"
  • All foreign languages (including American Sign Language) must have matching section numbers for lecture and lab, e.g., SPAN 2010 002 and SPAN 2011 002

Advising Coordinators

Advising coordinators develop and coordinate advising and student support services for a designated program. They assign advisors to students as well as provide assistance to students in obtaining necessary information and arranging a meeting with their advisor.

Tips, How-to and Additional Information

• Assign Advisors to Students
  1. In Banner 9, type in or search for the SGAADVR page.
  2. Enter the student CID (ID Field) or click the ellipses to bring up Person Search.
  3. Enter the term you want the advisor assignment to become effective, this may be the current or future term — use 201901 format. Click the green Go button.
  4. On the Advisor Information page, enter the Advisor's CID or tab to search by name.
     • Type in advisor's full or partial name. Press ENTER.
     • Enter search criteria in the ID and Name Extended Search pane.
  5. Click Select in the bottom corner.
  6. Tab to Advisor Type field and enter or select advisor type, i.e., ACAD, ATHL etc...
  7. Check the Primary Indicator if this advisor should be primary.
  8. Click SAVE in the bottom corner.
  9. The green message box at the top will indicate if the record is saved.
  10. Add additional advisors by selecting "Insert" on the Advisor Information bar.
