Requesting a New P-card

Quick Start Guide

To start, you will log in to Concur. Then, you will click the Create button and click Start a Request. Once in the form, you will fill out the required fields and click Create Request to continue.

  • Request Type: University Card Services Request
  • Card Request Description: “New Card”
  • University Card Request Type: #1 New Card
  • User Type: Select either CU or CUF employee
  • Business Unit, Department, Fund, Project/Grant: Enter your department’s default chart field string

You will need to click Add to open the Expected Expenses section. From the dropdown list, you should select #1 New Card Request. You will need to ensure you fill in all required fields marked with a red asterisk (*) and then click Save.

  • Card Needed by Date: Date you would like to begin using the card (allow 7–10 business days for delivery after final approval)
  • Work Phone Number: Enter your Clemson phone number
  • P-card Use: Select the option that best matches your expected purchases
  • Department: Enter the department number where the card will be used
  • P-card Liaison: Click the text box to view available liaisons for your department.
  • If your liaison is missing → click Liaison Missing and provide their name or employee ID in Liaison (Not Listed)
  • Work Street Address: Enter the accurate work address for delivery (cards cannot be shipped to home addresses)
  • Business Justification for New Card: Enter a comment explaining the need for a new P-card

P-Card Policy Overview

The Purchasing Card (P-Card) is a University-authorized Visa credit card issued by Bank of America, designed exclusively for official Clemson University purchases. All P-Card transactions must comply with State and University purchasing regulations.

Expanded Walkthrough

In this example, a CU University Card Services Request will be submitted for a new P-card.

  • 1. Start a New Card Services Request

    From the Concur Home page, click Request, then select Create New Request.

  • 2. Select the Request Type

    In the Request Type Header, choose CU University Card Services Request.

  • 3. Complete the Request Header Information

    Fill out the required fields:

    • Card Request Description
    • Card Request Date
    • University Card Service Type (New Card, Change to Existing Card, Cancel/Suspend/Reinstate)
    • User Type
    • Business Unit
    • Department
    • Fund

    Optional fields include:

    • Project/Grant
    • Comment about the P-card request

    Example: For this demonstration, we will select New Card as the University Card Service Type.

  • 4. Create the Request

    After completing the required Request Header fields, click Create Request in the bottom right corner.

  • 5. Add Expected Expenses

    Add under the Expected Expenses section to proceed.

  • 6. Choose Expense Type

    You will see five (5) options to select from. For this example, choose New Card Request.

  • 7. Enter Transaction Amount

    After selecting New Card Request, enter the Transaction Amount you wish to add to the new P-card.

  • 8. Save and Review Estimated Total

    Click Save in the bottom right corner.

    You will then see the Estimated Total for the Expense Type for the new P-card.

  • 9. Submit the Request

    Click Submit Request in the top right corner to finalize your request.

  • 10. View Submission Status

    After submitting, navigate to your Manage Requests page and view the Request Library.

    You will now see that your New P-card Request has been submitted and is pending Supervisor Approval.

Eligibility:

Permanent part-time and full-time faculty and staff are eligible to be P-Card holders.
