Project Closeout

Sponsor Requirements

In recent years the federal government has strengthened requirements for the prompt closeout of a sponsored project. Projects that have completed the period of performance specified in the terms and conditions of the award must cease expenditure and ensure that no further activity and/or charges are associated with the project. The Management Report – Projects Closing – provides specific information, including rate of burn – so that PIs and CPACs are aware of project closing dates. GCA utilizes these reports to monitor closing and help to ensure that projects are either closed and/or extended. At closeout, all charges must cease, personnel must be removed from the project, and the final report required by the sponsor must be complete within 90 to 120 days after closing. PIs are responsible for the technical report to the sponsor, and GCA is responsible for the fiscal reporting.

Important Note: Some federal sponsor require additional documentation of specific costs such as publication and travel. Please consult the CPAC and/or the GCA contact for assistance.
