Email Signatures

Every communication from Clemson should reflect the Clemson brand — even the simplest email. Using these guidelines will ensure our brand is consistently conveyed.

  • Email signatures should not be longer than 12 lines.
  • Refrain from the use of quotes or epigrams for professional communications. While these may reflect your personal views, they may not reflect the official position of the University and may be misinterpreted by recipients as being "official" Clemson communication.

The easiest way to update your signature file with Clemson’s branding is probably going to be to copy the sample at right and replace your current signature with the copied text, then edit the content to your professional contact information.

*Note: Employees who have a 25% or greater Extension appointment will need to include the link to the Extension Civil Rights Statement after URL or Social Media links in their email signature. Hyperlink this URL: https://www.clemson.edu/extension/about/legal.html

  • Name should be set in Helvetica/Arial Bold 14pt, #F36721.
  • Title should be set in Helvetica/Arial Bold 10pt, #2E1A47
  • Remaining text should be set in Helvetica/Arial Regular, 10pt, #333333
  • Place a single line space between "Clemson University" and the address/contact info. If using the logo, place two line spaces between it and the contact info above.

How to update your signature file with...

The display sample above is formatted with the correct font, colors and styling so you should be able to copy/paste it into your signature settings then customize the content fields. If you choose to do that, please double-check the styling before saving.

  1. Open the signature panel by either
    • selecting File -> Options -> Mail then selecting Signatures (third from the top) or
    • opening a new email message, select signature from the ribbon, then signatures.
  2. Inside the signature window, you will select new (or edit your current signature).
  3. Type in your contact info and style the text according to the instructions above.
  1. Open the signature panel by selecting Outlook -> Preferences and selecting Signatures.
  2. Edit an existing signature or create a new one:
    • Edit current: Select the current standard signature you are using and choose "Edit" to update (a window will pop up to edit your current, default signature). Reformat your default signature according to the instructions above. Choose the save icon in the top left corner of the pop-up window (or  ⌘S) to apply the changes then close the pop-up window when formatting is complete.
    • Create new: Choose the "+" symbol in the signature list to create a new signature file (a window will pop up to craft and style the new signature). Format your new signature according to the instructions above. Choose the save icon in the top left corner of the pop-up window (or  ⌘S) to add the new signature then close the pop-up window when formatting is complete.
  1. Open the signature panel by either:
    • selecting Mail then selecting Signatures (seventh tab) or
    • opening a new email message, select signature from the ribbon, then Edit Signatures.
  2. Inside the signature window, select your Exchange account and then click the “+” icon (or edit your current signature)
  3. Style the text in a word processor according to the instructions below.
  4. Use right option click to access drop-down menu and select show fonts/colors as needed.

Create a signature file on iPhone/iPad.

    1. Send yourself an email that includes your properly formatted signature.
    2. On your iPhone or iPad, tap the Mail app.
    3. Tap the email message you sent to yourself to open it.
    4. Select the signature and tap Copy.
    5. Switch to your home screen and tap Settings.
    6. Choose Mail.
    7. Tap Signature.
    8. Select the signature box, then remove the existing signature, if applicable.
    9. Tap Paste to add the new signature.
      NOTE: when you paste the color-branded signature content, the phone reverts the color settings to all black, shake the phone to engage the "undo formatting" feature. The result should be the correct colors and font size/type

Your new signature is included in All Accounts or Per Account, depending on your setting.

Create a signature file on an Android

    1. Send yourself an email that includes your properly formatted signature.
    2. On your mobile device, tap the mail app where you sent the formatted signature.
    3. Tap the email message you sent to yourself to open it.
    4. Select the full signature text and tap Copy.
    5. Open the Email app or Gmail app on your Android device.
    6. Go to the main Menu and Click Settings.
    7. Choose the email address you wish to change the signature for.
    8. Select the Signature or Mobile signature setting.
    9. Paste the copied signature text and Click OK.

      Andriod phones do not support HTML formatting so you will likely not be able to manage the styling (bold, italics, color) for your signature on this device. 

You now have a new Android email signature
