Cutover

As Clemson prepares to launch Workday across the University and its related organizations,we will enter a period called "cutover": the time that encompasses all the steps and tasks necessary to move data and users correctly from our current systems into Workday.

This process will require faculty, staff and student employees to stop identified actions to allow certain systems to shut down before Workday launches in July. This means specific HR and Finance actions, like hiring and purchasing, will not be allowed during certain windows. This period is critical to ensuring all data is moved to Workday correctly and ensure that our transition to Workday is as smooth as possible.

Most HR functions will begin to experience limitations beginning May 15, with most actions stopped by May 29. Finance functions will begin to experience limitations at the end of May, with actions progressively shut down through July. Departments should prioritize completion of HR and Finance transactions now if they must be complete before Workday’s launch in July.

Specific deadlines are included below both by the impacted function and by dates.

Finance Processes

  • May 1, 2026 – Last day to request legacy chartfields. When Workday launches, Clemson will transition to the Foundation Data Model.

  • May 29, 2026 – Last day to:

    • Request, create or modify suppliers, customers, sponsors and awards*, and their related information.
    • Create and approve guest/visitor expense reports.
    • Request new p-cards or CUF cards.

*Clemson will continue to use InfoEd to manage sponsors and awards after Workday go-live, and the system will still be available during this cutover period. Limitations are focused on the creation or modification of grants, sponsors and awards in PeopleSoft and are in place to facilitate proper data conversions into Workday.

  • June 12, 2026 – Last day to:

    • Create and submit transactions like requisitions, purchase orders, supplier invoices, and customer invoices.
    • Create and submit travel requests. After June 12, all travel requests should be held until after go-live to be entered in Workday. If travel crosses fiscal years, request the travel in Concur prior to June 12.
  • June 19, 2026 – Last day to:

    • Approve transactions from June 12 transaction creation.
    • Approve travel requests.
    • Create and approve employee reimbursement expense reports.
    • Request changes to existing p-cards and CUF cards, including limit increases, Merchant Category Code (MCC) unblocks, and other necessary adjustments.
  • June 25, 2026 – Last day to use a Clemson University p-card or CUF card until Workday go-live on July 1. Cards will be turned off from June 26 through June 30. Purchases on p-cards and CUF cards may resume once Workday goes live. Users should monitor recurring monthly charges that may occur during this period and work with vendors to determine an alternate method or date of payment.

  • July 10, 2026 – Last day to expense and approve p-card and CUF card transactions for FY26 purchases (occurring through June 30, 2026). All FY26 charges must be expensed in Concur. Charges made in FY27 (July 1 and onward) will be managed in Workday.

  • July 17, 2026 – Last day to process departmental G/L (general ledger) activity related to FY26, consistent with the year-end-close calendar.

Recruiting and Hiring

Recruiting and hiring deadlines are separated by faculty and staff hires below, and further by if employees must start before June 16, or can wait to start until July 2.

All new hires may not have start dates between June 16 and June 30.

Faculty

...who need to start or be hired before July 1 (in PeopleSoft):
  • May 27, 2026 – Last day for faculty offers to be accepted in Tiger Talent, for start dates prior to June 16.

...who can start or be hired after July 1 (in Workday):
  • May 15, 2026 – Last day to initiate requisitions in Tiger Talent.

  • May 28, 2026 – Last day to have EVP/SVP and/or division head/VP approval on a job requisition in Tiger Talent.

  • June 15, 2026 – Last day to formally accept a faculty job offer in Tiger Talent.

Clemson will continue to use Interfolio to manage faculty job postings. Postings in Interfolio may continue throughout the transition to Workday. Limitations and restrictions (listed above) will apply to the offer and hire process.

Any hiring needs identified after May 15 should be held and submitted as a requisition in Workday.

Staff

...who need to start or be hired before July 1 (in PeopleSoft):
  • May 27, 2026 – Last day for staff offers to be accepted in PeopleSoft, for start dates prior to June 16.

...who need to start or be hired after July 1 (in Workday):
  • May 15, 2026 – Last day to initiate requisitions in Tiger Talent.

  • May 28, 2026 – Last day to have EVP/SVP and/or division head/VP approval on a job requisition in Tiger Talent.

  • June 26, 2026 – Last day for a candidate to apply for a job posted in PeopleSoft.

The PeopleSoft job board will be transitioned to “view-only” after June 26, allowing hiring managers to review applications and continue the interview process. Applications will not be carried over into Workday, if an extended search is required. Hiring managers should prioritize completing necessary approvals with enough time to post a job for the necessary time period, with an end date of June 26.

All Other HR and Payroll Processes

  • May 15, 2026 – Last day to:

    • Hire students or change current student employee data.
    • Request an international hire.
    • Submit approved volunteer and contingent worker requests.
    • Submit approved payroll-impacting transactions**, including:
      • Temporary salary adjustments (TSAs) and administrative salary adjustments (ASAs)
      • Supplements
      • Position changes
      • Job earnings distributions through job data (After May 15, JED changes can be made on paylines until June 19.)
    • Submit an approved sabbatical or fellowship.

**These transactions and requests may not have effective dates between June 16 and 30.

  • May 29, 2026 – Last day to:

    • Enter CU Special Pay (Difference in Pay, Retro Pay, Award, Bonus, and Special Work on Project Pay).
    • Edit CU Special Pay (Summer School, Summer Pay and Summer Graduate Assistantship pay) for July 15, July 31, and August 14 check dates.
    • Add/modify “self-service” information in PeopleSoft and/or my.Clemson, including demographic information, and address.
    • Request changes to legal identity information, like legal name, social security number, and date of birth, through the Office of Human Resources.
    • Enter or approve unpaid leaves of absence or planned time off (annual, sick, paid parental) scheduled for on or after July 1. Employees should prioritize inputting all planned leave requests through June 30 into Kronos as soon as possible. After May 29, leave requests scheduled for July 1 or later should be held for submission in Workday.
  • June 12, 2026 – Last day to:

    • Submit FTE dual employment forms to OHR for submission to the Division of State Human Resources for a July 1 start date.
    • Submit additional job requests to OHR for temporary, TLP, or TGP employees for a July 1 start date.
  • June 19, 2026

    • Last day for employees to make W-4 and direct deposit changes in PeopleSoft.
    • Payroll processing and access closes for the June 30 paycheck for on-cycle payments.
  • June 24, 2026 – Last day to process any payroll transactions in PeopleSoft including voiding checks and off-cycle payments.

  • June 26, 2026 – Any corrections to timecards for the June 16 through June 30 pay period must be completed in Kronos by 4:30 p.m. on June 26. Corrections after this date will occur in Workday.

    • Nonexempt employees will continue to record time worked in Kronos through June 30.

Learning

Tiger Training will continue to be used after July 1. All Workday trainings will be delivered in Tiger Training, until the University transitions to Workday Learning with the launch of annual required training in the fall.

  • August 1, 2026 – Last day to create an optional course, enroll learners, or change enrollments in Tiger Training.

  • September 30, 2026 – Last day to use Tiger Training to complete required courses.

Performance Evaluations

Employees with June 30 or August 31 performance review dates will complete this year’s performance reviews in OnBase-Performance. Employees with July 1 to June 30 review cycles will complete their upcoming planning stage in OnBase-Performance, and the data will be migrated to Workday.

  • May 29, 2026  – Last day to start new hire planning stages in OnBase. New hires after this date will wait to input planning stages until Workday launches.

  • August 15, 2026 – Last day to complete or change a planning stage in OnBase-Performance.

  • August 31, 2026 – Last day to complete performance evaluations in OnBase-Performance.
